Confidentiality Policy

Statement of Intent

It is our intention to respect the privacy of children and their parents and carers, while ensuring that they access high quality education and care. The school should recognise that children and parents have a right to expect that confidentiality be maintained.

Aims

We aim to ensure that all parents and carers can share their information in the confidence that it will only be used to enhance the welfare of their children.

Methods

We will respect confidentiality in the following ways:

  • Parents have ready access to the files and records of their own children but do not have access to information about any other child.
  • Information, observations and concerns about a child should be recorded, signed and dated and kept in the relevant file. Staff must be aware of confidential information, which should be on a need to know basis.
  • Staff will avoid situations where they can be drawn into conversations, or comments, about other children or members of staff.
  • Staff will not discuss personal information given to them by parents with other members of staff, except where it affects planning for the child’s needs. Staff induction includes an awareness of the importance of confidentiality.
  • Any concerns/ evidence relating to a child’s personal safety are kept in a secure, confidential file and are shared with as few people as possible on a “need-to-know” basis.
  • Personal information about children, families and staff is kept in a designated place in the office with restricted access.
  • Under no circumstances will telephone numbers or e-mail addresses be given to anyone without obtaining permission from the person involved first.
  • Issues to do with the employment of staff whether paid or unpaid, remains confidential except to the people directly involved.
  • Parent’s permission will be sought before photographs are taken of children, either as individuals or in groups. Permission is normally requested in the Privacy Policy Form. From time to time photographs are taken of the school in action and these are used for displays inside the buildings. Under no circumstances will these photographs be circulated outside of the school, used for promotional purposes or posted on the website unless express permission is received in writing from parents/carers beforehand.

 

This policy was adopted by the staff at a meeting held on May 2016.
